Google Analytics, Clarity and Tag Manager

Analytics and behavioural/usability technologies are not used for advertising or marketing profiling unless we tell you separately and obtain any consent required. We will not use these services to deliberately identify you from analytics data.

Google and Microsoft may process information on servers outside the UK. Where required, we rely on appropriate safeguards for international transfers, such as the UK International Data Transfer Agreement, the UK Addendum to EU standard contractual clauses, adequacy regulations, or another lawful transfer mechanism.

Transactional email

We use ZeptoMail to send transactional emails-for example, acknowledgements, service-related replies, form notifications, account-related emails if applicable, and other non-marketing operational communications.

ZeptoMail processes the email address, message content and technical delivery data necessary to send and secure the email. We do not use ZeptoMail to retain email data beyond what is necessary for delivery, security and troubleshooting. Email-related data held through ZeptoMail is retained for no longer than 30 days, after which it is deleted or anonymised in accordance with the provider’s service settings and applicable law.

Please note that emails may remain in the recipient’s mailbox or in our own business records where retaining them is necessary for a legitimate business purpose, a contract, legal obligations, accounting, dispute resolution, or security.

Who we share data with

We may share personal data with trusted service providers that help us run our website and business, including:

  • Google, for Google Analytics and Google Tag Manager.
  • Microsoft, for Microsoft Clarity.
  • ZeptoMail, for transactional email delivery.
  • Website hosting, security, IT support, backup and website-maintenance providers.
  • Professional advisers, insurers, regulators, law-enforcement bodies or other authorities where legally required or necessary to establish, exercise or defend legal claims.

These providers may act as processors on our behalf, or in some cases as independent controllers for their own services. We require appropriate safeguards where a provider processes personal data for us.

We do not sell personal information.

How long we keep data

We retain personal data only for as long as necessary for the purpose for which it was collected, unless a longer period is required or permitted by law.

Our general retention approach is:

  • Website enquiry data: 12 months after the enquiry is resolved, unless it leads to a contract or we need to retain it for legal, accounting, security or dispute-resolution reasons.
  • Transactional email data in ZeptoMail: no longer than 30 days.
  • Website analytics and Clarity data: retained in accordance with our configured service settings and no longer than necessary for website analysis and improvement. 18months
  • Cookie-consent records: retained for as long as necessary to demonstrate and honour your preferences, then securely deleted or refreshed.
  • Security and technical logs: retained for 12months unless longer retention is needed to investigate a security incident or comply with legal obligations.

When information is no longer needed, we delete it securely or anonymise it so that it can no longer identify you.

Security

We take appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.

These measures include encryption in transit using HTTPS/TLS, access controls, least-privilege access, secure hosting and regular maintenance of website systems. No transmission or storage system is completely secure, but we work to reduce risk and protect information appropriately.

Website configuration checklist

Publishing the words alone is not enough. To align the site with the policy, ensure that:

  • Google Analytics, Microsoft Clarity and any non-essential Google Tag Manager tags are blocked by default until the relevant cookie choice is made.
  • The banner has equally clear Accept all and Reject all choices, with granular settings for analytics and behavioural/usability tracking.
  • Changing or withdrawing consent is as easy as accepting it; provide a persistent “Cookie settings” link in the footer.
  • GTM Consent Mode and your consent-management platform are configured correctly, rather than merely showing a banner while tags still load.
  • Clarity masking/exclusion settings have been reviewed, especially on contact forms and any page that could contain personal or sensitive information.
  • You use your consent platform’s cookie scan to replace the “typical data” table with the actual cookie names, providers, purposes and expiry periods deployed on the live site.
  • Google Analytics data retention and Clarity retention are set to the shortest period that meets your measurement needs, then inserted into the Privacy Policy.
  • You do not use a contact form or email collection without reflecting that collection and a clear retention period in the final privacy policy.

The ICO says a privacy notice should be clear about the data collected, purposes, lawful basis, sharing, retention, rights and international transfers. It also says people must be told about cookies, what they do and why, and that consent is required for non-essential use; UK guidance has also been updated in 2026 around storage-and-access technologies.
